Privacy Policy

MMI Mentor ("we", "us") is an interview-practice service for medical and dental school applicants, available as a website and an installable app. This policy explains what information we collect, how it is used, and the choices you have. It applies to the MMI Mentor website at mmi-mentor.onrender.com and to the MMI Mentor app.
Information we collect
- Account details. When you create an account we collect your name and email address, handled by our authentication provider (Supabase).
- Practice recordings. When you answer a practice station, the audio (and, if you enable your camera, video) you record is uploaded to our server so your answer can be transcribed and marked. Typed notes are uploaded the same way when you answer in writing.
- Transcripts, scores and feedback. The text transcript of your answer, the AI-generated feedback and your scores are stored so you can review your history and progress.
- Practice settings and history. Items such as your streak, practice calendar, interview dates and saved attempts are stored in your browser's local storage on your device, and account-linked profile details may be stored with Supabase.
- Delivery analytics. To give coaching feedback, the app estimates speaking pace and filler words from your transcript, and — only while you record with the camera on — approximate on-device measures such as how often your face is visible. These estimates are processed to generate your feedback.
How we use your information
- To transcribe your recorded answers and generate AI feedback and scores.
- To show you your practice history, streaks and progress.
- To operate, secure and improve the service.
We do not sell your personal information, and we do not use it for third-party advertising.
AI processing
Your recordings and transcripts are processed by OpenAI (as our service provider) to transcribe audio, generate feedback and, where enabled, produce the interviewer voice. Content sent through OpenAI's API is subject to OpenAI's API data-usage terms, under which it is not used to train their models.
Where your data lives, and for how long
- Audio recordings uploaded for marking are deleted from our server after transcription completes.
- Video recordings are retained temporarily so you can replay your attempt, on short-lived hosting storage that is cleared periodically (including on each redeployment of our service).
- Transcripts, feedback and scores remain in your practice history until you delete them or your account.
- Local data (history, streaks, settings stored in your browser or app) stays on your device and can be cleared by you at any time via your browser or device settings.

Your choices and rights
- You can practise without a camera — video is optional, and typed-notes mode lets you practise without recording audio at all.
- You can request access to, correction of, or deletion of your personal information by contacting us at the address below.
- You can clear locally stored history at any time from your browser or device settings.
We handle personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles. If you are located elsewhere, we apply the same protections to your information.
Children
MMI Mentor is intended for senior secondary students and university applicants. It is not directed at children under 13, and we do not knowingly collect personal information from them.
Security
Recordings and data are transmitted over encrypted connections (HTTPS). Access to stored data is limited to what is needed to operate the service.
Changes to this policy
If we make material changes we will update this page and revise the date above.
